Departure checklist

Departure Cleaning

Your apartment/room should undergo a thorough cleaning before you depart, and there should be no indication of build-up. 

You can refer to the cleaning checklist to see how to do a proper cleaning. Other special considerations are the following:

  • If you have purchased any items yourself (such as bed linen or food), please make sure that these items are removed in the apartment when you depart.
  • You must address all areas of the apartment including the kitchen, bathroom, your own room(s) and common areas.
  • There are certain guidelines for common areas, so please make sure to familiarize yourself with them. Please click here for more information regarding cleaning obligations
  • You are most welcome to take close up pictures of your cleaning efforts, and keep them on hand.

Upon your departure, all pre-existing kitchens items need to be present and in good condition at the inspection of your accommodation. You are required to wash the dishes prior to departure so they are clean for the next tenant.

Please remember to close your windows and lock your door when you leave.

All tenants are required to move out and return their keys (and laundry cards, etc.) to the place where they collected them from. If you received a USB internet stick (only very few residences), this should also be returned to us (including paperwork and pin code). This must be done by a specified deadline several days before their contract ends, in order to allow time for our officers to inspect the room and, if necessary, conduct cleaning and repairs.

You have successfully moved out when your keys are returned within the deadline. 

This inspection period is non-negotiable because it is part of the terms of your contract. This applies even if the move-out date falls on a Saturday or Sunday or on a holiday – our inspection crew works all week. If you fail to leave your room on time, you will be charged an extra month of rent as dictated by Danish Tenant Law.

Remember the keys can not  be returned to the RA’s or in their mailboxes. You can not return the keys in your own mailbox either. 

Returning your keys and other borrowed items

When is my deadline for returning keys?

Tenants (whose rental period started on or after 15th July 2019)
These tenants must vacate their rooms and return the keys by 12 noon 7 days prior to the last day of their contract.

EXAMPLE: If your tenancy ends on 14th July, your room must be vacated and keys must be returned by 12 noon on 7th July. If we haven’t received the keys by this deadline you will be charged one month of rent, since not returning the keys in time is a violation of the contract.

Further examples:

  • Contracts ending on the 31st: You depart and return keys by the 24th at 12 noon at the latest.
  • Contracts ending on the 30th: You depart and return keys by the 23rd at 12 noon at the latest.
  • Contracts ending on the 29 th: You depart and return keys by the 22nd at 12 noon at the latest.
  • Contracts ending on the 14th: You depart and return keys by the 7th at 12 noon at the latest.

Tenants whose rental period started before 15th July 2019

These tenants must move out and return their keys by 10 am 4 days before the end date in their contract.

Further examples:

  • Contracts ending on the 31st: You depart and return keys by the 27th at 10 am at the latest.
  • Contracts ending on the 30th: You depart and return keys by the 26th at 10 am at the latest.
  • Contracts ending on the 29 th: You depart and return keys by the 25th at 10 am at the latest.
  • Contracts ending on the 14th: You depart and return keys by the 10th at 10 am at the latest.

Summer students
Summer students (renting during July/August only) must vacate their rooms and return the keys by 10 am 4 days prior to the last day of their contract. For instance, if your contract end date is 14th July, your room must be vacated and the keys must be returned by 10am on 10th July.

Further examples:

  • Contracts ending on the 31st: You depart and return keys by the 27th at 10am at the latest.

Where do I return my keys?

You should return your keys to the place where you collected them from.

For the following residences, please return the keys directly at the residence:

All other keys should be handed in at the Housing Foundation Office at: Njalsgade 76, 4B-0-34, 2300 København S.

The TDC Homeboxes for internet connection should NOT be returned – please let it stay in the room/apartment for the next tenant to use.

If the tenancy is not vacated in time or the keys are not returned, we reserve the right to bill the arriving tenants delay expenses to you: Hotel, storage of luggage, transport and the likes.

Can’t return your keys during our opening hours? Just drop them in our mailbox!

The mailbox at our office at Njalsgade is located to the right of the revolving entrance door (yellow dot on the picture below). Please pass the dumpsters and then you will be able see a mailbox on the wall.

Make sure you put everything in an envelope that is marked clearly with:

  • Name
  • Tenant ID
  • Address and name of accomodation
  •  Room number

 Please ensure that key sets are complete and identifiable (tagged). Only that way can we trace these keys back to you, so you avoid a late-return fee. Please make sure to use a small envelope or a plastic bag since the slot is quite small

Move-out inspection

You will be called in for inspection when your lease is ending or you decide to hand in your keys. During this inspection, the inspectors will check that your room is not damaged and has been cleaned properly.

The inspection letter will be sent to your email address and will state the date and time of the forthcoming inspection.

Please keep in mind that it is not possible to change the inspection date and participation is optional. Therefore you do not need to contact us, if you are not able to participate. Rest assured that the inspection report will be sent to you shortly after the inspection, together with pictures.

If you have managed to clean on a regular basis and there are no damages, you will most likely receive your full deposit back. It will be returned to you 4-8 weeks after your contract’s tenancy end date. See more details in our Payment section.

If on the other hand the room/apartment is found insufficiently clean at the time of inspection, deductions will be made from your deposit.

If you live in a shared room (A+B) 
Tenants living in shared rooms (A + B) have to be aware that there will be a room inspection after tenant A or B moves out. If one tenant moves out, it is the other tenant’s responsibility to keep the bathroom and toilet clean, otherwise both tenants are at risk of getting a cleaning fee. Please be aware that when you share areas such as bathrooms, kitchenettes etc. all who have access to these areas are responsible for maintaining and cleaning it.

Deposit return

If everything in your residence is left in an acceptable condition after your stay ends, your full deposit will be returned to you.
Note that it can take up to 8 weeks from when your contract ends until you get your deposit back.

There are two ways to have your deposit returned:

  • To the credit card you payed it with
  • To a bank account (Danish or foreign)

Once you decide how you want your deposit returned you have to notify us on the online booking system, otherwise we cannot return it. You notify us by going into the ‘Account equalization’ step on your flow and entering the ‘Returning your deposit’ section. Here you either press ‘Yes’ for having the deposit returned to the credit card you paid it with or you press ‘No’ for having it returned to a bank account. If you choose the latter option you will also have to fill out your bank account information.
