Departure checklist

Departure Cleaning

Your accommodation should undergo thorough cleaning before you depart, and there should be no indication of build-up calcium. 

Please refer to the departure cleaning checklist to see how to do a proper cleaning. For a more detailed guide please also refer to our cleaning plan.

 

Other important considerations that we often emphasize:

 

  • Please note that the Mattress protector sheet that you received during your move-in must be removed from the room before the move out inspection. If not, this will result in a fee for removal of extra items.
  • Things you brought into your accommodation must be removed when moving out. If you fail to do so there will be a                                                        fee associated with leaving things behind. 
  • If you have any useful things, we recommend you donate them to secondhand stores or recycling stations, so they can be re-used and enjoyed by others.
  • You are most welcome to take close-up pictures of your cleaning efforts and keep them on hand. 
  • Please remember to close your windows and lock your door when you leave.

Deadline for returning keys?


According to the rental contract paragraph 11, tenants must vacate their rooms and return the keys by 12 noon 7 days prior to the last day of your contract.

The  move out date is non-negotiable. This applies even if the move-out date falls on a Saturday or Sunday or on a holiday – our inspection crew works all week.

Remember the keys can NOT be returned to the RA/ the RA mailbox/ your own mailbox. 

EXAMPLE: If your tenancy ends on 14th July, your room must be vacated and keys must be returned by 12 noon on 7th July

If we haven’t received the keys and you haven’t moved out by the deadline, it will be seen as a violation of your rental contract, and you will be charged a late move out fee.

 

Move out date examples


Contracts ending on the 31st: You depart and return keys by the 24th at 12 noon at the latest.
Contracts ending on the 30th: You depart and return keys by the 23rd at 12 noon at the latest.
Contracts ending on the 29 th: You depart and return keys by the 22nd at 12 noon at the latest.
Contracts ending on the 28th: You depart and return keys by the 21st  at 12 noon at the latest.
Contracts ending on the 14th: You depart and return keys by the 7th at 12 noon at the latest.

You have successfully moved out when you have vacated your room  and returned your keys and other borrowed  items within the deadline. 

Key return information for summer students

Summer students (renting during July/August only) must vacate their rooms and return the keys by 10 am 4 days prior to the last day of their contract. For instance, if your contract end date is 31st of July, your room must be vacated and the keys must be returned by 10am on 27th of July.

Further examples:

Contracts ending on the 31st: You depart and return keys by the 27th at 10am at the latest.
Contracts ending on the 30th: You depart and return keys by the 26th at 10am at the latest.
Contracts ending on the 14th You depart and return keys by the 10 th at 10am at the latest.

Where do I return my keys?

You should return your keys and laundry cards to the place where you collected them from.

Keys can be returned within office hours or in the  pink mailbox inside building 10B.

NB. All keys that were picked up in our office must be returned to our mailbox outside our office. Please read about the mailbox below. 
The TDC Homeboxes for internet connection should NOT be returned – please leave it in the room/apartment for the next tenant to use.

Make sure you put everything in an envelope or a transparent plastic bag containing:

  • Name
  • Tenant ID
  • Address and name of accommodation
  • Room number
  • All keys and laundry card/laundry chip

Please ensure that your keys are complete and identifiable (tagged). Only this way will we be able to trace the keys back to you, so you avoid a late-return fee. Please make sure to use a small envelope or a plastic bag since the slot is quite small.

Please return your keys in our mailbox

The mailbox at our office in Njalsgade is located to the right of the revolving entrance door (click on the map. The mailbox can be fond at the yellow star symbol). Please pass the dumpsters then you will be able see a mailbox on the wall.

If the tenancy is not vacated in time or the keys are not returned, we reserve the right to bill the arriving tenants delay expenses to you: Hotel, storage of luggage, transport and the likes. Furthermore, you will be charged a late move out fee on on months rent. 

Deposit return

If everything in your residence is left in an acceptable condition after your stay ends, your full deposit will be returned to you.
Note that it can take up to 8 weeks from when your contract ends until you get your deposit back.

There are two ways to have your deposit returned:

  • To the credit card you made your last payment with
  • To a bank account (Danish or foreign)

Once you decide how you want your deposit returned you have to notify us on the online booking system, otherwise we cannot return it. You notify us by logging on to your Housing Account and go to the ‘Returning your deposit’ section. Here you can choose if you would like to have you deposit returned to the credit card you have used to make your latest payment in our system, or if you would like the deposit to be returned to your bank account. If you choose the latter option you must fill out your bank account information.
